COMMITTEE RESOURCES

     On this page you will find forms and guidelines which you will find very helpful in carrying out your role or roles with any Subud committee, whether local, regional, or national. Using the forms diligently is very important for the national dewan and for centers or regions under Subud USA’s corporate umbrella. Other centers or regions may find these forms helpful as well. The guidelines are intended as suggestions for ways to run meetings, take minutes, keep accurate books, and establish and maintain your center or region as a nonprofit entity.

     Starting in 2008, the IRS has imposed stricter bookkeeping and reporting requirements on nonprofit corporations. For this reason, we strongly urge the treasurers to become very familiar with both the forms and the Subud USA Treasurer Guidelines to insure that we meet IRS standards. Keeping accurate books, and end-of-year reporting, are no longer optional. All funds deposited into or taken out of any account which uses the Subud USA tax ID number must be accompanied by clear and detailed records regarding these transactions. Instructions explaining how to maintain these records are outlined in detail in the Subud USA Treasurer Guidelines.

     Requests for reimbursement from Subud USA or from centers and regions under Subud USA’s corporate umbrella must be documented on the Reimbursement Voucher Form with receipts attached. This form is to be used both for cash reimbursement and for conversion of out-of-pocket expenditures into a donation. The form and receipts must be submitted promptly in order to be reimbursed. National committee members and committee members from centers and regions under Subud USA’s corporate umbrella should read the Travel Reimbursement Guidelines before planning any travel. Cash reimbursements can only be given for pre-approved travel and/or expenditures, but anyone may convert bona fide out-of-pocket expenditures into a tax-deductible donation.
